When should I import departments via Excel?
If you need to create or update multiple departments, we recommend using Woba’s Excel template instead of managing each department manually.
Departments should be created before employees and administrators, so employees can subsequently be linked to the correct departments.
The recommended order is:
Departments → Employees → Administrators
💡 Tip: If you only need to create individual departments, it may be easier to use Add Department directly in Woba Suite.
Download the Excel template
Log in to Woba Suite
Go to Organization and Employees
Select Organization
Go to Departments
Click Import Departments
Click Download Woba template
You can now fill in the Excel template with your department structure.
⚠️ Important: Do not delete columns or change the column headers in the original Excel template. Doing so may cause the import to fail.
Fill in the department template
The Excel template contains the following fields:
Department ID*
Department ID*

Enter the relevant Benchmark ID if the department should be linked to a specific benchmark group.
Upload the Excel file
Once the template has been completed:
Go back to Organization → Departments
Click Import Departments
Drag the Excel file into the upload field, or click Upload from device
Select the completed Excel file
Click Upload
Woba will then process the information in the Excel file and create or update the departments.
If there are errors in the file, these must be corrected before the import can be completed.
Check the departments after importing
Once the import has been completed, we recommend checking the department overview.
Check, among other things:
That all departments have been created
That the department names are correct
That active and inactive departments have the correct status
That parent and subdepartments are placed correctly
That any department managers are assigned correctly
That language and other information are correct
You can also use Your Organizational Chart to visually check that the department structure has been set up correctly.
Export existing departments
If you already have departments created in Woba, you can select Export Departments from the department overview.
This can be useful if you need to review or make larger changes to your existing organizational structure.
💡 Tip: For larger changes, it may be easier to start with an export of your existing departments rather than building the structure from scratch.
What is the next step?
Once your department structure is in place, you can continue by importing employees and linking them to the relevant departments.
